Full Time Administrative Assistant

We are looking to hire a full-time Administrative Assistant, where you’ll play an essential role in supporting our team and ensuring smooth operations across our office. Start Date: This position is full time with the employee starting work as they are able.

Key Roles & Responsibilities

Location Administrator

  • Answer/disperse phone calls and emails
  • Pick up and drop off mail
  • Process incoming/outgoing packages, such as Discover Seed Lab, Purolator, etc.
  • Keep accurate inventory of office supplies and order when necessary and appropriate
  • Greet customers and suppliers in a friendly, professional manner
  • Assist customers and direct them to the appropriate assistance when required
  • Process payment on accounts ensuring accuracy of amount and payment type
  • Complete all invoicing for location in a timely basis and ensure accuracy of customer balances
  • Manage issues with customer accounts as necessary regarding account adjustments, transfer prepayment funds, etc.
  • Receive customer payments and ensure proper account updates
  • Prepare and make bank deposits
  • Assist locations employees to serve customers in the most efficient and effective way possible
  • Monitor and process all 3rd party payments
  • Assist in getting information for 3rd party financers
  • Process all credit card payments
  • Print and mail monthly statements to customers
  • Ensure customer accounts are created with accurate customer information and update as needed
  • Monitor fax machine
  • Maintain filing system and keep current
  • Prepare the daily visa report, balance, and attach appropriate paperwork
  • Prepare the monthly visa report for Controller, breaking out the numbers
  • Manage Flaman Rentals and Traeger sales and accounting
  • Monitor fleet complete GPS system
  • Enter inventory paperwork, such Inventory Receipts, Dry Fertilizer and NH3 Loadouts.
  • ERP review and update as needed; mail out letters to appropriate residents
  • Reconcile cash box
  • Process expense reports as required
  • Execute errands for office

Office Maintenance

  • Oversee Office cleaning:
    • Ensure office space is kept clean and tidy on a daily basis
    • Ensure washrooms are kept clean and tidy on a daily basis
    • Ensure floors are cleaned on a regular basis (more often when required)
    • Ensure the kitchen area is clean and the garbage is removed
    • Ensure the reception area is clean and tidy for customers
  • Ensure any of the office equipment is maintained and in proper repair
  • Organize repair that is required on head office equipment or facility

Horizon Team Member

  • Be an active supporter and contributor to the communities we serve
  • Contribute to and maintain a positive attitude in the workplace
  • Keep and maintain confidentiality of all customers, employees and suppliers and Horizon’s business
  • Be mindful and eliminate any unnecessary expenses for the business
  • Look for ways to help Horizon Fertilizers be more profitable, even small things
  • Help with any special projects as required
  • Be familiar with and live the values that are defined by the Horizon’s
  • Continually develop leadership and business skills
  • Approve, attend and contribute to community activities when appropriate
  • Set, maintain, and live high ethical and moral standards
  • Pleasantly greet customers and suppliers
  • Fill in for all roles when needed with appropriate skills and talents
  • Support safety practices and initiatives as set by safety officer and ensure safe driving habits
  • Maintain and tidy up office and yard
  • Demonstrate respect and courtesy for all employees, customers, suppliers, and community
